If Japan is on your travel list this year, the Embassy of Japan recently shared reminders to clarify the visa application process. In a FAQ video, a representative from the Japanese Visa Application Center (JVAC) addressed some of the more common concerns from applicants.

How Filipinos can apply for a Japan visa

Filipino travelers can apply for a Japan visa through VFS Global, the official partner of the Embassy of Japan that handles application intake.

Here’s a quick overview of the process:

  • Prepare your documents – This typically includes your passport, completed visa application form, photo, and financial/travel documents (like bank certificates and itinerary).
  • Book an appointment – Applications are submitted through VFS Global, which manages scheduling and document collection.
  • Submit your application at a VFS center – You’ll go to your chosen branch on your appointment date.
  • Wait for processing – VFS forwards your documents to the Embassy of Japan for evaluation.

You can apply for a visa without booking flights

One common question is whether flight tickets are required before applying. According to the embassy, they’re not. Applicants can submit their visa requirements first and finalize their travel plans later.

Processing typically takes around two to three business days through VFS Global, followed by about six days with the Embassy of Japan, assuming all documents are complete and accurate. To be safe, applying one to two months before your intended travel date is still advised, especially during peak travel periods when demand tends to be higher.

Handling applications for family members

If one person is organizing documents for the whole family, each applicant still needs their own set of requirements and a signed authorization letter.

Adults should sign their own forms, while children under 13 will need a parent’s signature. If the parent isn’t available, a guardian authorized by the Department of Social Welfare and Development (DSWD) may sign on their behalf. Consistency in signatures across documents is also something applicants are reminded to double-check.

Double-check appointment bookings

With more people applying for visas, the embassy also flagged the importance of verifying appointment links. Bookings made through official VFS Global channels are generally considered valid, but applicants are encouraged to stay cautious and avoid unofficial sources to reduce the risk of scams.

Changes to visa type require a new application

If you initially applied for a single-entry visa but decide to switch to multiple entry, the process isn’t as simple as updating your form. You’ll need to withdraw your current application and submit a new one, since the embassy only reviews the information originally provided.

Extra services at the premium lounge

For those opting for VFS Global’s premium lounge, photo-taking and printing services are already included. This can be useful for applicants who still need to complete their photo requirements on-site.

What to expect in the coming years

Japan is also preparing to introduce a new pre-travel authorization system, the Japan Electronic System for Travel Authorization (JESTA), by 2028. The system is expected to help streamline arrivals and manage the growing number of international visitors.

There are also discussions about possible increases in visa and residency fees, though details and timelines may still change.
